The Box Office and Marketing Manager manages Box Office operations and Marketing workflows for the OCCC Office of Cultural Programs. This position manages all subscription sales, single event sales, group ticket sales, ticketing operations, box office operations, and patron service issues, and manages other tasks associated with event marketing and promotion, with technical support from the OCCC Office of Marketing and Public Relations. The ideal candidate must have excellent customer service, staff management, and accounting skills, be able to negotiate Box Office contracts, be detail oriented, be able to recruit and supervise a student employee workforce and possess the ability to coordinate the completion of multiple tasks or projects within established deadlines. The position requires occasional evening and weekend work including working all ticketed performances and events.
BOXOFFICE Provide superior box office customer service by phone, in person, and in fulfilling online sales. Develop a knowledge of and positive and personal relationship with Cultural Programs constituents. Manage Box Office operations to meet established annual revenue goals. Plan, order, distribute and account for all ticket sales. Modify, maintain and update subscriber/season ticket and potential subscriber databases. Negotiate Box Office agreements with outside promoters and prepare contracts for authorized signatures. Provide leadership in the development and communication of new ticketing policies, as needed, and maintain documents of all box office policies. Manage day-to-day operations of ticketing and subscription sales and other patron transactions. Oversee ticket inventory, up-sell appropriate packages, services, and events. Generate accurate daily financial reports and seating records. Build and maintain performances and patron accounts on ticketing systems. Manage special ticketing needs as well as discounts and promotions. Ensure the fulfillment of house seats, complimentary tickets, and trade requests. Maintain ticketing processes to maximize efficiency and ensure accounting compliance and accountability. Work with venue staff to manage the setup and sales of all tickets and subscriptions at all concerts and events, including will-call ticket pick up, and resolution of any or ticketing issues. Work with outside promoters from box office contract to settlement. Collect and maintain patron data and lists for effective communication and relationship development. Train and schedule box office staff. Use customer service skills, diplomacy, and good judgment to resolve any escalated customer service issues such as counterfeit tickets, refund, reprints, etc. Produce sales and Box Office settlement reports as requested. Work with Director and Finance staff to develop and ensure accurate accounting procedures for ticket sales and box office activities. Oversee box office cash handling procedures. Generate box office settlements and reports. Administer and control cash flow from door sales, phone, web, and mail order sales. Ensure compliance with system controls and cash handling procedures. Provide financial data for grant final reports. Collect and analyze box office data. Other duties as assigned.
MARKETING Coordinate with the Marketing & Public Relations department to: develop and implement strategies to market all Cultural Programs’ produced events to maximize ticket sales and ensure timely generation, distribution, and publishing of marketing assets; write and proof marketing copy for press releases, articles, etc.; coordinate all press inquiries; and produce marketing materials for digital, print, tv, radio and direct mail. Promote OCCC ticketed events to the patron database and through the college website, social media portals, community event calendars, and event websites. Coordinate marketing workflows to Provide helpful information, including suggestions for events, parking options, driving directions, restaurant recommendations, and access for all patrons, and any other patron services. Market sell and coordinate program ad sales and event sponsorships to sponsor all Cultural Programs’ produced events, coordinating efforts with the OCCC Development Office to prevent overlap of sponsorships or duplication of work. Three years of experience managing performing arts center box office, or similar operation, that includes administration of subscription series and the training and supervision of box office staff.
